2. What information we collect
We only collect what we need to talk to you and build your website. Specifically:
- Contact details: your name, email address, phone or WhatsApp number, and business name.
- Project content: anything you send us to put on your site — text, photos, logos, opening hours, prices, social handles.
- Messages: the content of emails and WhatsApp messages you send us.
- Payment details: handled by our payment processor (Stripe) — we never see or store your card number.
- Technical data: when you visit this website, your browser sends your IP address and basic device information as part of the normal HTTP request — we do not run analytics or tracking pixels on this site.
3. Why we collect it (lawful bases)
- To answer your enquiry and provide a quote — lawful basis: your consent (by contacting us) and our legitimate interests in responding to potential clients.
- To deliver the service you've paid for — lawful basis: performance of a contract.
- To send invoices and meet our tax obligations — lawful basis: legal obligation (HMRC requires us to keep financial records for 6 years).
- To protect our work (e.g. respond to disputes) — lawful basis: legitimate interests.
We do not use your data for marketing without your explicit, separate consent, and we do not sell your data to anyone, ever.
4. Who we share data with
We use a small number of trusted third parties ("sub-processors") to operate the business. Each is bound by its own data protection terms:
- Google Workspace — to receive and send email.
- Meta / WhatsApp — when you message us via WhatsApp, your message is processed by WhatsApp under Meta's privacy terms.
- Stripe — to take card payments securely.
- Netlify and/or Vercel — to host your finished website.
- HMRC / our accountant — only where required by law to file tax returns.
5. International transfers
Some of our sub-processors (notably Google, Stripe, Netlify, Vercel, Meta) are based in the United States. Where your data is transferred outside the UK, we rely on the UK Government's adequacy decisions or the International Data Transfer Agreement / Standard Contractual Clauses, as appropriate.
6. How long we keep it
- Enquiries that don't become projects: deleted within 12 months.
- Client project files and correspondence: kept for the duration of the project plus 6 years (HMRC record-keeping requirement).
- Invoices and payment records: 6 years.
7. Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the data we hold about you (a "subject access request").
- Correct anything that's wrong.
- Ask us to erase your data, where there is no overriding legal reason to keep it.
- Object to processing based on our legitimate interests.
- Ask for your data in a portable format.
- Withdraw consent at any time, where consent is the lawful basis.
To exercise any of these rights, email webifyaiwebsites@gmail.com. We will respond within one month.
8. Complaints
If you believe we've mishandled your data, please talk to us first — we'd much rather fix it directly. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
9. Cookies and tracking
This site does not set any cookies of its own and does not use analytics or advertising trackers. We do load Google Fonts from fonts.googleapis.com, which means your IP address is briefly visible to Google as part of the font request. See our Cookies Policy for full details.
10. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top of this page will always show the latest version. For material changes that affect existing clients, we'll email you.
